What should an organization look for in training materials from CRM providers?
The useful question is not how many courses a CRM vendor publishes. It is whether its materials will get each of your roles working on the plan you bought, and keep them current as the product changes.

The quick answer: Our pick for an organization that wants free, role-based CRM training it can assign and track is HubSpot. HubSpot Academy's library and certifications are free, and Academy playlists let an admin assign courses to users or teams, set a due date and monitor progress on every HubSpot plan. Whichever vendor you assess, check role fit, plan-accurate documentation, practice, credential renewal and manager tracking. If hands-on practice in a real environment matters most, Salesforce's free Trailhead is the stronger model.
What actually matters in vendor training
Most CRM training looks alike from the outside: videos, help articles, a badge. Four checks separate materials that change how people work from materials that merely get completed.
Role and plan fit. Each role needs a named path with a stated time commitment. Microsoft Learn, for example, tags its Dynamics 365 Sales learning paths with a role, a level and a duration. Plan accuracy matters too: a tutorial for a feature your tier lacks wastes an afternoon. HubSpot's knowledge-base articles open with the subscriptions a feature needs and a last-updated date.
Practice. Reading about a pipeline is not the same as moving deals through one. Look for exercises that run in a safe environment rather than in your live data.
Proof with a renewal cycle. A certification helps only while it reflects the current product. Check how long it lasts and what it costs.
Manager visibility. A rollout needs assignments, deadlines and a view of who has finished.

Where HubSpot fits — and where it doesn't
Choose HubSpot when you need to train a mixed team without a training budget. Creating an Academy account is free and opens the whole course library, including courses written for account admins and sales-team admins.
Choose HubSpot when completion has to be visible. Academy playlists bundle courses and certifications, assign them to users or teams with a due date, email the assignees, and show progress bars for each team and each user. HubSpot lists the feature for all products and plans.
Choose HubSpot when you want credentials without exam fees. HubSpot's certification FAQ states that product and software certifications are valid for one year and all others for two, so an annual refresh is built in.
Consider Salesforce instead when hands-on practice is the priority, or your CRM is Salesforce. Trailhead offers free practice in real Salesforce environments and preparation for more than 60 certifications. Budget for exams, though: the Platform Administrator exam costs USD 200 plus applicable taxes, and a retake USD 100.
Consider Microsoft instead when you are deploying Dynamics 365 and want a formal route to certification. Microsoft Learn pairs self-paced paths with a schedulable instructor-led course and a practice assessment before the exam.
A worked example
Illustrative scenario: a 12-person team adopting HubSpot, with one account admin, two sales managers and nine reps. Course lengths are HubSpot's listed times.
- Admin: Managing your HubSpot Account as an Admin, 3 hours: 1 × 3 = 3 learner-hours
- Managers: Sales Hub Admin: Managing a sales team in HubSpot, 4 hours: 2 × 4 = 8 learner-hours

Checklist before you decide
- Map roles first. List admins, managers and front-line users, then match each role to a named course or path with a stated duration.
- Check the plan label. A free course does not mean a free feature. Confirm that each how-to article names your subscription before you assign it.
- Ask how people practice. Prefer exercises in a safe environment, or set aside clearly marked test records first.
- Price the renewal cycle. Note validity periods and exam fees before you make a credential mandatory.
- Confirm tracking. Ask to see assignment, due-date and progress views before rollout, not after the deadline.
Common questions
Is free vendor training enough for a CRM rollout?
For learning the software, often yes. Vendor courses explain features; they cannot explain your stage definitions, required fields or hand-offs. Pair a vendor playlist with a short internal guide to your process.
Do CRM certifications expire?
HubSpot's do: its product and software certifications last one year and its other certifications two. Check each vendor's renewal terms before tying a credential to a job requirement.
Should managers take the same courses as reps?
